MoodleMoot Canada 2024 Terms and Conditions

These are the Terms and Conditions that form part of the registration to the MoodleMoot Canada 2024 Event between Catalyst IT Canada – the organiser of the event, and any other parties involved in organising the event, and the party whose name appears as the Delegate upon registration.

Registration

Submission of a duly completed online registration will be regarded as a binding offer by the Delegate (subject to availability) and the Delegate affirms acceptance of these terms and conditions to Catalyst IT Canada and any other parties involved in organising this event. A binding contract will only be formed when full payment for your registration has been received and you have received a booking confirmation email from Catalyst IT Canada (via eventbrite). If Catalyst IT Canada is unable to process your booking request, for example if the Event has been overbooked, Catalyst IT Canada will inform you of this by email will not charge you for the Event.

Registration payment covers:

  • attendance at the MoodleMoot Canada 2024, days 1 and 2, including all presentations
  • morning tea, lunch, tea and coffee each day
  • any other activities such as networking drinks that may take place at the event (if applicable / if being held)

The conference registration fee does not include accommodation, ground transport, airfares or any other travel costs, meals outside the conference nor other incidental costs.

Payment terms

Registrations via eventbrite accept credit card as a payment option. For larger groups, and if you require an invoice, please contact [email protected]

All Delegates acknowledge and accept that they are responsible for any additional charges incurred from bank transfers or credit card payments.

Payments must be received by Catalyst IT Canada prior to the event commencement date.

Any invoices issued are to be paid within 14 days.

Early bird

Early bird offer for this event ends at 11 pm on Friday 15th March 2024.

Cancellation policy

All cancellation requests must be emailed to [email protected]

Subject to force majeure events, if a cancellation notice is received more than 30 days before the event, a refund will be provided less an administration fee of $CA30. The refund will be processed in the same payment method that was used to complete the payment. If the refund needs to be processed by bank transfer, the Delegate will be responsible for any bank fees or conversion fees associated with this transaction. If a cancellation notice is received 30 days or less before the conference, no refund will be given.

Non-attendance

No refunds will be made due to non-attendance.

Transfer of Registration

Transfer of your registration to another person is acceptable up to two weeks before the Event, subject to Catalyst IT Canada’s final determination. In order to do so, please email [email protected] and provide us with the full name, email address and organisation of the person that will replace you, and we will endeavour to organise the transfer of registration.

MoodleMoot Canada 2024 Program

Catalyst IT Canada reserves the right to make alterations to the program, date and/or venue at any time without prior notice. Catalyst IT Canada will, of course, provide as much notice as possible.

Special Dietary / Physical / Other requirements

Special dietary, physical and other requirements will not be catered for unless we have received your written request and confirmed such prior to event commencement. Please note your requirements on your registration form.

Privacy Statement

You acknowledge and consent, by registering for the conference (or registering on behalf of others) that Catalyst IT Canada, and other parties involved in organising the Event, will collect and store certain personal information for the purposes of enabling us to:

  • register your attendance at the conference;
  • assist with administrative and planning purposes;
  • plan and develop conferences and other events in the future;
  • facilitate your requirements in relation to the conference;
  • allow the compilation and analysis of statistics relevant to the conference;
  • invite you to future events; and
  • permit Catalyst IT Canada to contact you regarding their products and services in accordance with our Privacy Policy.

The information that you provide in the registration form and information provided at any other time during the conference, including without limitation any feedback obtained during the conference, will be used by Catalyst IT Canada to offer, provide and continue to improve its events and services. Catalyst IT Canada may disclose some of the information that is collected in the registration form such as your name, your organisation and its location and your email address to third parties providers to process the payment of fees and taxes obligations.

Catalyst IT Canada will not otherwise, without your consent, use or disclose your personal information for any purpose unless it would reasonably be expected that such purpose is related to the offer, provision and improvement of their events or where such purpose is permitted or required by law.

All personal data collected is internally processed only by designated Catalyst IT Canada staff members and stored on servers which abide by Catalyst IT Canada’s security rules and standards. Photography & Filming

For promotional purposes, there may be photography and video production taking place during the conference. Delegates who do not wish to be filmed or recorded should advise the conference organisers prior to the conference.

Speakers

Views expressed by the speakers are their own. Catalyst IT Canada cannot accept liability for advice given, or views expressed, by any speaker at the conference or any material provided to Delegates.

Additional Speaker Terms and Conditions

Catalyst IT Canada may use speakers’ names and presentation materials when promoting the Event. Presentations and associated materials will not be returned unless specifically requested by speakers. Catalyst IT, and other parties involved in organising the event, may record or video all speakers’ sessions. Such recordings may be reproduced, shared or sold to Delegates or those who were unable to attend. Speakers who do not wish to be filmed or recorded must advise Catalyst IT Canada in writing 14 days prior to the Event date, but may result in Catalyst IT Canada declining to utilise such speakers.

Waiver of Liability

Delegates are required to comply with the rules and regulations governing the applicable venue and/or accommodation. Any property Delegates bring to the venue and/or accommodation is at their own risk. Catalyst IT Canada, or any other party involved in organising the event, accept no liability for any loss, injury or damage whatsoever, from any action or cause whatsoever undertaken, organised or sponsored by the organisers or its affiliates, including Catalyst IT Canada.

Except to the extent caused by a negligent act of Catalyst IT Canada, each Delegate is liable for and shall indemnify and keep indemnified Catalyst IT Canada, or any other party involved in organising the event and its affiliates against any and all claims, liabilities, costs or damages caused or contributed to by the indemnifying Delegate relating to the conference. 

Insurance

Only public liability insurance is included in registration fees and it is advised that Delegates take out appropriate insurances, including health and travel insurance prior to any travelling.

Notwithstanding any other representations made if, due to any circumstance beyond the parties’ control, including government imposed restrictions, the Event cannot proceed as planned in a physical format, then you agree that Catalyst IT Canada may change the running of the Event to a virtual format or postpone the physical Event to new dates.

If this should occur then Catalyst IT Canada will provide a revision of the benefits to be provided and consequent adjustment of registration fees, including potential for full refund in certain circumstances.

Event Cancellation

Catalyst IT Canada reserves the right to cancel the MoodleMoot Canada 2024 event or parts thereof at any time at its sole discretion. In the event of such a cancellation, Catalyst IT Canada will refund registration fees paid, minus any booking fees, direct to the Delegate upon proof of purchase, and this refund shall be the full extent of Catalyst IT Canada’s liability to the Delegate arising out of such cancellation.

In the event of cancellation, Catalyst IT Canada will use reasonable endeavours to alert those who have booked to attend the conference and/or who purchased conference tickets. The details of any cancellation will be posted on Catalyst IT Canada website. Delegates are responsible for checking this information prior to the conference.
